Reckless Recruits: Client Services Administrator

We are currently on the lookout for a permanent, eager, organisational whiz of a Client Services Administrator; someone who is looking to break into the wonderful world of digital agency life. This role will teach you all you need to know about running a working studio within the agency, whilst learning about the disciplines of design, development and digital marketing, with a view to you eventually becoming an Account Executive within our Client Services Department.

This is a fantastic opportunity for someone with a great eye for detail, impeccable organisational skills and who is not afraid to speak up, to make sure work is happening when it needs to be and holding everyone accountable for their work.

The Role

When you first join the team, you will be getting to grips with how to manage the studio schedule and then run this whilst our Studio Coordinator is on Maternity Leave. 

The delivery schedule is an ever-moving plan and it is very important to the success of our agency. Your job will be to juggle the daily, and often conflicting, demands of retainers, projects and teams. All whilst ensuring work is completed on time, on budget and to a standard our clients expect of us.

Don’t fear though, you won’t be alone to look after all of this. You will have the support of our Senior Project Manager, the Client Services team and the wider Reckless team to guide you.

Your Responsibilities:

  • Managing the schedule to fit in with the priorities of all our clients 
  • Ensuring there is space for any emergency work without causing disruption to other planned work
  • Raising new job requests for the studio team following requirements from clients
  • Scheduling all of the design and development work in the studio 
  • Obtaining quotes on timescales from the design and development team to be reported back to the Account Managers
  • Supporting with project plans alongside the Account Managers for clients at the start of each project, and ensure that these are kept updated with any changes to deadlines
  • Liaising with the Account Managers on a regular basis with updates on scheduled work
  • Holding weekly status meetings with the Account Managers and managing the daily schedule
  • Creating a quarterly schedule forecast to ensure the business has an overview of all upcoming workflow and resource needed
  • Overseeing jobs and making sure they are on track, on time and on budget, raising to the Account Management team if there are any issues, clashes etc
  • Ensuring time-sheets are completed on time by the studio
  • End of project reports, to review profitability and efficiency of projects
  • Testing of completed development work prior to sending to clients

You will also focus on understanding how to look after your own portfolio of clients, how to build great relationships and work with our clients to ensure we provide the best possible service, as well as coming up with solutions that support them to grow as a business.

Who Are We Looking For?

Being honest, one of the greatest skills you can possess for this type of role is being an organisational hero. You’ll have a large number of projects and tasks to manage at any one time, so you need to be able to stay on top of this and make sure the team is working to the schedule. 

You need to be comfortable working with the whole Reckless team and having a nice but firm hand when it comes to deadlines. Your day is filled with conversations — with client services, project managers, digital marketing, design & developers. 

Being commercially minded is an added bonus so you understand the needs of both our business and that of our clients. You won’t be micromanaged (it’s not the way we work) so you will need to feel confident that you can talk to the right people in the team to get a quote and report to the Account Managers. 

  • Excellent organisational & planning skills – whether it is organising work, a team or a holiday, everything is done with military precision. You have a checklist for every occasion
  • Logical & flexible thinker – you can adapt what you’ve learned in one area and apply this to another 
  • Clear communicator – everyone knows what you are asking of them
  • Fun but firm – you know how to have fun and get people working with you, but you also know how to make sure everything you require of the team is done to an excellent standard
  • Good knowledge and interested in digital and digital services
  • Knowledge of Jira would be beneficial – but not essential as the digital element can be taught
  • A ‘can do’ attitude, cliche but we don’t like negativity
